What does AI Lead Recovery actually do?

We install and manage a missed-call recovery system for local service businesses: instant text-back when calls are missed, an AI receptionist for after-hours and overflow, call tracking with source attribution, and CRM follow-up so leads do not die in voicemail or sticky notes. Setup is a one-time install fee; we manage it for a flat monthly retainer.

Who is this for?

Local service businesses that get inbound phone calls and lose at least some of them. Roofing, HVAC, plumbing, electrical, restoration, pest control, garage door, landscaping, cleaning, and similar trades. Usually 1–30 person shops; we have a separate package for multi-location operators.

Who is this not for?

Do you build software?

No. We are vendor-agnostic implementers and operators. We choose proven tools (HubSpot, HighLevel, CallRail, WhatConverts, JobNimbus, AccuLynx, ServiceTitan, AI receptionist platforms, etc.) and connect them into a recovery system that fits your team.

How much does it cost?

Setup ranges from $750 (Starter) to $3,500+ (Scale). Monthly management is $199–$1,200+ depending on package. Software (SMS, AI receptionist, call tracking, CRM) typically runs $30–$450/month at vendor cost and is billed directly to you whenever possible. See the pricing page for the full breakdown.

Is there a contract or minimum term?

No. Setup is one-time. Management is month-to-month. Cancel anytime — you keep your numbers, accounts, and CRM data.

Do you take a percentage of recovered revenue?

No. Flat fee. Percentage-of-revenue models create perverse incentives. The free audit will show whether the flat fee makes sense at your call volume.

Do you mark up software?

No. When vendors will let you, the invoice goes directly to your card. When pass-through is required, it is at exact cost with a line-item invoice.

What if I already pay for HubSpot / CallRail / etc.?

Even better. We will use what you already have. We only recommend a switch when the current tool is the bottleneck, and we say so plainly in the audit.

Will it actually work for me?

What kind of results should I expect?

Most clients see two things in month one: average first-response time on inbound calls drops from "hours or never" to "under 60 seconds," and missed-call recoveries become a regular line item in the monthly report. Do you guarantee a number of leads or recovered jobs?

No, and we recommend running away from anyone who does in this category. We do guarantee response-time and uptime SLAs on the system itself — if text-back, AI receptionist, or call tracking is down, we fix it on our clock.

What if the audit says I don't need this?

Then we say so. If your call volume is too low for the math to work or your current setup is already strong, the audit will tell you that — in writing — and we won't try to sell you anything. The audit is genuinely free.

How long until I see results?

Text-back and call tracking go live in 5–10 business days. AI receptionist and CRM integration typically add another 1–2 weeks. Recoveries usually show up in the first week the system is live.

How it actually runs.

Will customers know they are talking to an AI?

The AI receptionist only handles after-hours and overflow by default, and we configure it to be honest about being a virtual assistant. Booking handoffs and escalations are routed to your team. We do not pretend it's a human.

What about SMS compliance (TCPA, A2P 10DLC)?

We register your number for A2P 10DLC, configure consent language correctly, set up opt-out handling, and follow current TCPA guidance for inbound-triggered SMS. None of this is legal advice — we can introduce counsel if your situation needs it.

Will this change my main business phone number?

No. We work with your existing number. In some cases we add tracking numbers for specific channels (Google ads, LSA, GBP, organic, referral) so you can see which channel produces revenue, but your published main number stays the same.

What CRMs do you support?
